To say that small business owners wear a bunch of proverbial hats is an understatement. In addition to running the company from day to day, you hire new staff, order inventory, help customers, pay vendors and employees, and much more.

While you enjoy being a small business owner, you are always looking for ways to be more efficient and eliminate busy work. One way to do this — and free up some time in the process — is to streamline as much of your daily or weekly tasks as possible.

With that mind, check out the following ideas that will help you be more efficient:

Say ‘Sayonara’ to Your Traditional To-Do List

Chances are you have a daily to-do list chock full of things you need to accomplish at your company. The problem with this type of list is that every task has the same ‘value.’

Instead, switch to a ‘priority list,’ which has three values. After you create your list, mark any task that will generate income for your company with a $; anything that will make current customers happy with a 🙂 and anything that creates a system that can run on its own with a *.

Next, review the list and the symbols, and start with the tasks that share the most symbols.

Are You Repeating Yourself? Time for a Template!

You probably send all new clients the same type of email. The same is probably true for welcoming new hires to the team and reminders to vendors who are past due in their payments.

If you notice that you are repeating yourself in your emails, create a template for each type of message and store the templates on your laptop or tablet. Over time this seemingly minor step can save you hours of repetition.

Harness the Power of Your Smartphone

Right now, you are carrying a hand-held computer that does much more than make calls and texts — your smartphone can also help you get through each day as smoothly as possible. For example, if you have an Apple iPhone 5s or later model, take advantage of its many other cool features including the calendar and alarm to stay on top of everything you need to do.

In addition to setting an alarm in the morning to get you out of bed, you can program other alarms for different tasks at work, including meetings with staff and clients, ordering supplies and more. You can also use the calendar feature to enter in any repeating tasks as well as other appointments. By having everything on your phone instead of a paper calendar or jotted down on Post-Its, you will be less likely to miss something important and will be more on top of your schedule.

Reduce Your Use of Paper

Printing out every important invoice, email and document does more than use up a ton of paper — it also means someone (probably you) has to take the time to gather up the paper from the printer, sort, staple and file it.

One of the quickest ways to streamline a business is to look at the paper flow and find ways to reduce it. Rather than print an important invoice, create a file system on your computer and store it there. Unless a physical piece of paper is vital for you or a team member to do your jobs, consider leaving it on your computer.

Minutes Can Add Up to Hours

In addition to helping you feel more on top of things at your company, streamlining the day-to-day grind will ultimately free up a valuable resource: time. By revamping your to-do list, watching for repetitive emails, using your smartphone to its full advantage and saving some trees, your small business will run more smoothly than ever, and you will feel more relaxed as well.
